Step 1 · Communication

Collect the evidence.

Decisions, changes and commitments happen in meetings, emails, documents and conversations. When that information stays scattered, people have to reconstruct what happened, and agents have no reliable context to work from.

When people communicate, they pass information. They also raise open items, and they hand out tasks. We break every conversation into those parts so the agents can manage it.

Information
What people pass to each other when they communicate: facts, status, intent.
“Today I'm doing this, today I'm doing that, this is equal to that.”
Open item
An umbrella for work that is not yet a task. A mini project with no owner yet.
“Hey, we should think about moving that air conditioning unit.”
Task
A thing one person does.
“Hey, Rex, can you go and research where we could put that?”
“The amount of forensic information in normal communication that just gets flushed down the drain every single hour of every day.”

Project communication capture

Capture at the source.

So we've started capturing all of that information: every single word that's said, every single email.

Each source has an agent. The Email agent captures email. The Meetings agent captures web and in-person meetings. On site, the Site agent captures voice and photos from a phone.

Everything captured is filed into the project brain, with its source attached. Phone calls are the one gap for now.
