1. Introduction
This Privacy Notice describes how Efficiently, LLC ("Efficiently," "we," "us," or "our") collects, uses, shares, and protects personal information when you visit efficiently.com (the "Site"), create or access an account, submit an access application, or interact with our marketing, sales, events, support, or business operations (collectively, the "Online Services"). This Privacy Notice applies to personal information collected from website visitors, prospective customers, event attendees, and other individuals who interact with Efficiently outside of the Platform. For the processing activities described here, Efficiently acts as the data controller.
Where Efficiently processes Customer Data or DPA Data on behalf of a Customer under a Master Platform and Services Agreement, Order Form, or separate written agreement, that processing is governed by the applicable agreement and the Data Processing Addendum. This Privacy Notice does not replace or modify those agreements.
2. Information We Collect
We may collect the following categories of personal information:
(a) Contact Information — name and email address;
(b) Professional and Business Information — company name, job title or role, company website, company type, annual revenue range, the project management software your organization uses, and referral information you choose to provide;
(c) Application Information — information you submit when applying for access to our Platform and related communications; and
(d) Usage Information — IP address, browser type, operating system, referring URLs, pages visited, and information collected through cookies and similar technologies (see Section 3).
You should not submit payment card information subject to PCI-DSS, protected health information under HIPAA, special categories of personal data, biometric identifiers, or other sensitive or regulated personal information through the Site or Online Services unless Efficiently expressly agrees to receive it in a separate written agreement or addendum.
3. Cookies and Tracking Technologies
Our Site uses cookies and similar technologies for essential functionality, analytics, and advertising. These include:
- Essential (Cloudflare) — security, bot management, and site availability.
- Analytics / performance (Google Analytics, Hotjar, Klaviyo) — to understand and improve how the Site is used.
- Advertising / targeting (LinkedIn, Google Ads/DoubleClick) — to deliver and measure marketing. Use of these advertising technologies may constitute "sharing" of personal information for cross-context behavioral advertising, and/or "targeted advertising," under applicable U.S. state privacy laws.

4. How We Use Information
We use personal information to: (a) provide, operate, secure, support, maintain, administer, and improve the Site and Online Services; (b) communicate with you, including responding to inquiries and sending transactional messages; (c) secure our systems and protect against fraud, unauthorized access, and other security risks; (d) comply with applicable laws, regulations, and legal processes; (e) deliver and measure marketing and advertising, including through the advertising technologies described in Section 3; and (f) send marketing communications where consent is obtained or otherwise permitted by applicable law.
We may also create, use, and retain de-identified, anonymized, or aggregated data for analytics, benchmarking, product improvement, security, and other lawful business purposes, and will not attempt to re-identify it except as permitted by law.
5. Legal Basis for Processing (where required)
(a) Contractual necessity — to provide the Online Services, manage your account, and respond to inquiries; (b) Legitimate interests — to secure our systems, prevent fraud, improve the Online Services, and conduct analytics, where not overridden by your rights; (c) Legal obligation — to comply with law; and (d) Consent — for marketing communications and, where required, advertising cookies. You may withdraw consent at any time.
6. How We Share Information
We may share personal information with:
(a) service providers and sub-processors who perform services on our behalf, subject to contractual protections;
(b) advertising and analytics partners — including LinkedIn and Google — in connection with the advertising and analytics technologies described in Section 3. Depending on your jurisdiction, this may be considered "sharing" for cross-context behavioral advertising or "targeted advertising," and you may opt out as described in Section 12;
(c) affiliates within our corporate group;
(d) parties to a corporate transaction, such as a merger, acquisition, or sale of assets;
(e) governmental authorities or third parties as required for legal compliance or to protect our rights; and
(f) other parties with your consent.
Except for the advertising-related "sharing" described above, Efficiently does not sell personal information, and does not use personal information for the sale or brokering of personal data.
7. Retention
We retain personal information for as long as necessary to fulfill the purposes described here or as required by law. Account-related information is retained for the duration of your relationship with Efficiently and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our agreements. When no longer needed, we securely delete or anonymize it.
8. Security
Efficiently protects personal information using the administrative, technical, and physical safeguards described in the Information Security Addendum (available at efficiently.com/legal). No method of transmission or storage is completely secure, but we employ measures designed to protect personal information against unauthorized access, use, or disclosure.
9. Children's Privacy
The Site and Online Services are not directed to individuals under 18, and we do not knowingly collect personal information from children. If we learn we have collected such information without appropriate authorization, we will take steps to delete it.
10. Automated Decision-Making
Efficiently does not use personal information collected through the Site or Online Services to make decisions based solely on automated processing, including profiling, that produce legal or similarly significant effects. Where the Platform includes AI features or outputs, they are informational only and do not replace human judgment or professional review.
11. International Transfers
Personal information may be transferred to, stored in, and processed in the United States or other jurisdictions. Where required, Efficiently relies on appropriate transfer mechanisms, which may include the EEA Standard Contractual Clauses, the UK International Data Transfer Addendum, the EEA SCCs as adapted for Switzerland, or another valid mechanism. Cross-border transfers of DPA Data are governed by the Data Processing Addendum.
12. Your Privacy Rights and Choices
Depending on your jurisdiction and our relationship with you, you may have the right to: (a) access the personal information we hold about you; (b) request correction; (c) request deletion; (d) opt out of the sale or sharing of personal information and of targeted advertising; (e) request portability; (f) request restriction of processing; and (g) lodge a complaint with your supervisory authority.
Do Not Sell or Share My Personal Information (US state privacy laws). Because we use advertising technologies (LinkedIn, Google Ads/DoubleClick) that may constitute "sharing" for cross-context behavioral advertising, you may opt out:
- by using the "Do Not Sell or Share My Personal Information" / "Your Privacy Choices" link on our Site;
- by broadcasting a Global Privacy Control (GPC) signal from your browser, which we will honor as a valid opt-out for the browser and device from which it is sent; and/or
- by opting out directly with the providers — Google advertising personalization via Google Ads Settings, and LinkedIn advertising via your LinkedIn account settings.
Marketing. You can unsubscribe from marketing emails at any time via the unsubscribe link or by contacting us; we may still send service-related messages.
Authorized agents. You may designate an authorized agent to submit a request; we may require proof of authorization.
We do not discriminate against individuals who exercise their privacy rights. We may need to verify your identity before responding, and may decline or limit a request where permitted by law. To exercise your rights, contact us using the details in Section 14.
13. Updates
Efficiently may update this Privacy Notice from time to time by posting an updated version on the Site or otherwise providing notice. Unless a later effective date is stated, changes become effective when posted; material changes will be communicated with reasonable notice where appropriate or required by law.
