AI Policy

Purpose and Scope

The Service uses artificial intelligence and large language models (AI/LLMs) to organize, summarize, transcribe, and surface insights from project communications and documents for construction-project teams. AI-generated outputs are provided for informational purposes only. They do not constitute professional advice of any kind — including legal, engineering, architectural, safety, or financial advice — and the Service is not intended to serve as a system of record.

Human Oversight

AI features within the Service are designed to assist, not replace, qualified professionals. Users should verify all AI-generated outputs against authoritative project documents, drawings, specifications, and other primary sources, and should apply independent professional judgment before acting on any AI-generated content.

No Training on Customer Data

efficiently, LLC does not use Content or Customer Data to train AI or machine-learning models. Subprocessors engaged by efficiently, LLC are contractually prohibited from training their models on Customer Data or Content. No retention or logging of Customer Data or Content occurs at the Subprocessor level, except as necessary for cloud storage in the ordinary course of providing the Service.

Anonymized, cross-client learning is enabled by default to improve general Service quality. Aggregated manufacturer-intelligence features are available with an opt-out mechanism. These capabilities operate under a three-tier data-use framework described in the Data Processing and Privacy pages of this Trust Center.

Accuracy and Limitations

AI-generated outputs may contain errors, omissions, hallucinations, or biases. Users must not rely on AI-generated outputs as the sole basis for decisions involving health, safety, life, property, legal rights, or financial matters. All AI outputs should be independently verified before use in any material decision-making process.

Prohibited Uses

Use of the Service's AI features is subject to the Acceptable Use Policy (AUP). Prohibited uses include, without limitation: high-risk applications not authorized by efficiently, LLC; automated decision-making without appropriate human supervision; biometric identification or categorization; social scoring; profiling that produces legal or similarly significant effects; and use of AI outputs as a substitute for licensed professional advice.

Transparency

efficiently, LLC provides documentation and in-product disclosures regarding the capabilities and limitations of AI features, the categories of data processed by AI components, and the purposes for which AI is used within the Service.

Risk Management

efficiently, LLC maintains an AI risk management program that encompasses model selection and evaluation, ongoing monitoring of AI outputs, incident response procedures, vendor and subprocessor risk assessment, security and privacy controls, and alignment with emerging regulations and frameworks including the EU AI Act and the NIST AI Risk Management Framework (AI RMF).

Human Review for High-Stakes Decisions

For any material decisions arising from or informed by AI-generated outputs, efficiently, LLC requires a human-in-the-loop review process. Users must ensure that qualified personnel review, validate, and approve AI-assisted outputs before they are relied upon for consequential actions.

Concerns regarding AI features, outputs, or this policy may be reported to success@efficiently.com.

Updates

efficiently, LLC may update this AI Policy from time to time. Material changes will be communicated with reasonable notice through the Service or other appropriate channels.
